
How to Hit Project Deadlines and Increase Productivity

One of the biggest challenges faced by project managers is completing tasks on schedule. According to a survey of more than 200 project managers conducted by BULL and Spikes Cavell, the single most common reason for project failure was missed deadlines, while the main indicator of success was meeting milestones.
So, what steps can you take to hit project deadlines and increase productivity in the process?

Make Attainable Deadlines
First and foremost, set realistic and achievable deadlines. If a task will take a minimum of two months to complete, then set a deadline of at least two months. Overly ambitious timelines will only set the project up for failure.
Break Up Tasks into Smaller Increments
Breaking large tasks into smaller, manageable increments makes deadlines easier to hit. Once one stage is completed, you can move on to the next. This approach helps to prevent “paralysis by analysis”, where project managers and teams feel overwhelmed by a large workload.
Keep Meetings Focused and On Topic
As a project manager, you will likely spend many hours in meetings – and that’s perfectly normal. What is not acceptable, however, is allowing those meetings to consume all of your time and energy.
Before holding a meeting, define the topics you want to cover and how long it should take. Share this agenda with attendees in advance so everyone stays on track.
Ask for Help
Do not be afraid to ask for help. Managing a project is never a one-person operation. While the project manager carries a great deal of responsibility, team members are there to share the workload. Whether you need support with a specific task or broader guidance, asking for assistance will prevent bottlenecks and delays.
Keep Everyone Informed
Finally, ensure all stakeholders and team members remain informed about the project’s progress and whether deadlines are on track. Failure to share information can result in misaligned efforts. By keeping everyone updated, you also make it easier to ask for help when needed.
